- Uploaded documents β receipts, invoices, and similar business documents uploaded for processing, which may contain personal or financial data about you, your suppliers, or your customers.
- Extracted financial data β supplier names, invoice numbers, amounts, VAT/tax details, categories, and payment information derived from uploaded documents.
- Usage data β basic technical logs needed to operate and secure the platform.
How we use this data

- Allow our authorised staff to review, correct, and approve extracted data as part of providing your bookkeeping service.
- Push approved data to accounting platforms you or we connect (such as QuickBooks or Xero) as part of your bookkeeping.
- Maintain accurate financial records on your behalf.
- Keep the platform secure and prevent unauthorised access.
Third parties we share data with
We only share data with third parties where necessary to provide your bookkeeping service:

- OpenAI β uploaded documents are processed through OpenAI’s API to extract structured data.
- QuickBooks (Intuit) and Xero β where your accounting platform is connected, approved data is sent to your own connected account.
- Hosting and infrastructure providers β data is stored on secure servers with access controls.
We do not sell personal data to third parties, and we do not use your data for advertising.
Data retention
We retain uploaded documents and extracted data for as long as needed to provide your bookkeeping service and meet standard UK accountancy record-keeping requirements, after which it may be deleted or anonymised.
Your rights
Under UK GDPR, you have the right to access, correct, or request deletion of your personal data (subject to our legal obligation to retain financial records for a required period), object to or restrict certain processing, and data portability where feasible. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk).
Security
We use reasonable technical measures to protect your data, including secure login systems, encrypted connections, and access controls limiting who can view uploaded documents and extracted data.
