Getting Started

There's no password to remember. Enter your email address, and we'll send you a one-time code straight away. Type that code in, and you're logged in.

This applies whether you're a client, a bookkeeper, or an admin β€” the login screen is exactly the same for everyone. What you see after logging in depends on your role.

You'll land on a dashboard suited to your role:

  • Clients see a simple upload screen β€” take a photo or upload a file, and that's it.
  • Bookkeepers and admins see the full workspace β€” Processing Inbox, Document Reader, Extracted Data, and the Assistant chat, all explained below under "For the Team".

Everyone sees a friendly greeting with their name and the current time at the top, so you always know you're logged in as the right person.

πŸ“€

For Clients β€” Uploading Your Documents

Once you're logged in, you'll see one simple screen. There are two ways to add a document:

  • πŸ“· Take Photo β€” opens your camera directly, so you can snap a receipt on the spot.
  • πŸ“Ž Choose Files β€” pick a PDF, JPG, or PNG already saved on your device. You can also just drag a file straight onto the page if you're on a computer.

You can add up to 5 files at a time, each up to 10 MB. Once you're happy with what's in the list, press Upload Documents.

No β€” and you don't need to do anything about it. If a PDF has more than one page, it's automatically split into separate pages the moment you add it, before it's even sent. You'll see a small "Split" label appear next to it, and each page arrives with your accountant as its own, individual document β€” exactly as if you'd photographed each receipt separately.

This means every document your accountant reviews is always one page, one receipt or invoice β€” nothing gets mixed together.

Your documents go straight to your accountant's team securely β€” only they can see what you've sent. From there, the details are read, checked, and entered into your bookkeeping records. You don't need to do anything further unless your accountant asks you a question about something specific.

Yes. Documents are stored securely and are only ever visible to your own accountant's team β€” never to other clients, and never made public in any way.

πŸ‘₯

For the Team β€” The Four Workspaces

Each page has one clear job, on purpose. Bookkeeping work happens in stages β€” documents arrive, get checked, get read, then get turned into proper records β€” and trying to squeeze all of that into a single busy screen makes mistakes more likely, not less. Splitting it into stages means:

  • You always know exactly where a document is in the process.
  • Nothing gets accidentally skipped or double-handled.
  • Each screen can be genuinely well-designed for its one job, instead of a compromise trying to do everything at once.

This is where every document lands first β€” whether a client uploaded it, or you added it yourself on their behalf. Here you can:

  • See everything waiting, filtered by company or status.
  • Split any multi-page file into individual pages (done automatically for client uploads, but available here too for anything uploaded another way).
  • Mark documents "Ready for Extraction" once they're confirmed correct and ready to move forward β€” nothing proceeds until you actively choose this.

Think of this as the sorting desk β€” nothing gets processed until it's been checked and approved here first.

A focused way to view original documents clearly β€” zoom in on a receipt, rotate it if a photo came in sideways, and read the fine print properly before relying on it.

Once a document's details have been read and turned into structured data β€” supplier, date, amount, category, tax β€” this is where you review, correct, and finalise it before it goes anywhere near QuickBooks or Xero.

Every row can be edited two ways: quickly, right there in the table, or through the "Edit all" button, which opens a wide window showing the original document on one side and every field on the other β€” ideal for a thorough, side-by-side check.

From here, once everything's correct and approved, documents are ready to export to QuickBooks or Xero, whichever that company uses.

This is where the automated reading actually happens. Select documents that are "Ready for Extraction", and the Assistant reads each one and pulls out the supplier, date, invoice number, category, tax, and total β€” presented as review cards you can check and correct, or simply tell it in plain English what to fix. From here, save to your dashboard, and it appears in Extracted Data for final review.

If two team members open the same document at the same time, you'll each see a gentle notice naming the other person, so nobody accidentally overwrites the other's work. If you try to edit while someone else is already working on the same thing, you'll be asked to confirm first. It's there to protect your work, not to get in your way β€” it clears automatically the moment the other person is done.

Yes. Inside "Edit all", use the Prev and Next buttons at the top to move straight to the next document without closing the window each time. On Extracted Data, saving keeps the window open on the same document, so you can save and move on in one smooth motion.

Once documents are approved in Extracted Data, select them and press Export. A few safety checks happen automatically:

  • If you've accidentally selected documents from more than one company, the export is refused outright, with a clear explanation β€” nothing gets sent to the wrong place.
  • You're always shown exactly which company it's about to export to, and asked to confirm, by name, before anything happens.
  • If a document was already exported before, you're asked whether to update the existing QuickBooks record or create a new one β€” never guessed silently.

It works the same way as QuickBooks. Connect each company to its own Xero organisation once, then select approved documents in Extracted Data and press Export, then Export to Xero.

  • Receipts and expenses are created in Xero as Spend Money. Invoices and Bills are created as Bills. Credit Notes are created as Supplier Credit Notes.
  • The original document is attached to the Xero record automatically.
  • Mixed-company batches are refused, you confirm the company by name, and an already-exported document asks whether to update the existing Xero record, export as new, or skip.
  • If a tax rate on a document is not matched to a Xero tax rate, the export stops with a clear message so no VAT is ever posted wrongly. Match it once on the Xero Connect page.

Features Explained

"AI" gets used loosely to mean lots of different things, so it's worth being clear about what it actually means in this platform. There are two genuinely separate uses:

1. Reading your documents. When the Assistant looks at a receipt or invoice and works out the supplier, date, and amount, that's the platform using AI in the ordinary sense β€” a modern reading and understanding technology, similar in spirit to how a very fast, tireless assistant would read a document and note down the details. It's genuinely useful for this specific job, and it's checked and correctable by a real person every time β€” never applied blindly.

2. Building the software itself. Separately, this entire platform was built by me, Gobi Krishna, using modern AI-assisted development tools as part of how I write and refine code β€” the same way a skilled tradesperson uses better tools to work faster and more precisely, while the judgement, decisions, and responsibility remain entirely mine. This is a normal, honest part of how software is built today, not something to be hidden or confused with the document-reading feature above.

Neither use of the word means the software "thinks" on its own, or acts without a person reviewing the result. Every figure it reads is shown to you clearly, and always correctable before it's trusted anywhere near your accounts.

Yes. On the Assistant page, you can either tap directly on any field to edit it the normal way, or simply type β€” or speak β€” what needs changing in plain English, for example: "the total on invoice 3 should be 45.20". It understands the correction and updates the right field for you. Both ways work side by side; use whichever feels faster for a given moment.

This platform works as a full web app on any device β€” Android, iPhone, Windows, or any computer β€” right from your browser, with no app-store download needed. On most phones, you can add it to your home screen so it opens and feels just like a regular app. It's built to work smoothly on any screen size, whether that's a phone, tablet, or desktop.

Yes, regularly. Because this was built specifically for how this practice actually works β€” rather than being a fixed, one-size-fits-all product β€” it can be genuinely adjusted and improved based on real, everyday feedback from the people actually using it. If something would work better a different way, that's a real, achievable change, not a feature request lost in a queue.

Yes β€” every document viewer supports zooming in and out, rotating, and dragging the image around to check small print clearly, for both photos and PDFs alike. The viewing window itself can also be dragged around your screen by its header, so you can position it wherever's most comfortable while you work.

What makes this different
Real features, built specifically for how this practice actually works.
βœ‚οΈ

Documents split themselves β€” silently

Upload a multi-page PDF anywhere in this system, and it's automatically split into individual pages before anyone even sees it β€” no popup asking "split this?", no extra click. Every document your team reviews is always exactly one receipt, one invoice.

🧠

It remembers, so you don't repeat yourself

Categorise a supplier once, and the system quietly remembers it β€” category, payment method, and tax rate together. The next document from that same supplier arrives already suggested, correctly, for that specific company. Still always editable, never forced.

⚑

QuickBooks mapping happens the moment you connect

Connect a company to QuickBooks, and tax codes, categories, and payment methods are automatically matched by name immediately β€” no separate setup step required before you can start exporting. Review and adjust anytime, but there's nothing you have to configure first.

⚑

Xero mapping happens the moment you connect

Connect a company to its Xero organisation and tax rates, categories, and paid-from bank accounts are matched by name straight away. Review and adjust anytime on the Xero Connect page.

πŸ‘€

Genuinely live team awareness

See instantly if a colleague is already working on the same document β€” by name, in real time β€” before you accidentally overwrite each other's work. This isn't a "someone might be editing" guess; it's live, accurate, and clears itself the moment they're done.

πŸ’¬

Just tell it what to fix

Instead of hunting through form fields, type or speak the correction in plain English β€” "the total on invoice 3 should be 45.20" β€” and it's understood and applied directly. Tapping fields still works too; use whichever's faster in the moment.

πŸ”

A genuinely proper document viewer

Every document β€” PDF or photo β€” zooms, rotates, and drags smoothly, not limited to a basic built-in browser preview. The viewer window itself can be dragged anywhere on your screen too, so it's never in your way while you work.

πŸ›‘οΈ

Built to stop costly mistakes before they happen

Try to export documents from two different companies together, and it's refused outright, with a clear explanation β€” before anything touches QuickBooks or Xero. Every export also names the exact company you're about to send to, and asks you to confirm, by name.

πŸ› οΈ

Genuinely built around this practice, not the other way round

This wasn't adapted to fit β€” it was built from the real, everyday workflow of this specific practice, and it keeps evolving the same way. A better way of doing something here is a real, achievable change, not a feature request sitting in someone else's queue.

πŸ‘‹ Gobi Krishna β€” who built this

Hello β€” I'm Gobi Krishna, the founder of TechBytz and the person who built and maintains this entire platform, from the very first line of code onward. I'm a Computer Science graduate, and software development has been my full focus ever since β€” genuinely hands-on with everything you see here, not overseeing someone else's build.

I built Ledgent to be a real, working tool shaped by how this practice actually operates day to day β€” not a generic product adapted to fit, but something built around the real workflow from the start.

πŸ’» TechBytz

TechBytz is a UK-based software development company, founded by Gobi Krishna. It builds bespoke web platforms and tools for businesses β€” Ledgent, the platform you're using right now, is one such example, built specifically for Daniel Consultancy.
